SWINDON FOSTER CARERS ASSOCIATION
COMMITTEE CODE OF CONDUCT
1. Purpose
This Code of Conduct outlines the standards of behaviour expected from all committee members. It ensures the Association operates respectfully, safely and in the best interests of foster carers and children.
2. Respect and Professional Behaviour Committee members must:
- Treat others with respect and courtesy.
- Communicate calmly and constructively.
- Value different perspectives and experiences.
- Avoid discriminatory, intimidating or disrespectful behaviour.
- Represent the Association positively.
3. Confidentiality and Data Protection Committee members must:
- Maintain confidentiality regarding carers, children and committee discussions. Follow GDPR principles.
- Use secure communication channels.
- Avoid storing sensitive information on personal devices.
- Seek guidance if unsure about sharing information.
4. Meetings and Participation Committee members are expected to:
- Attend meetings regularly.
- Notify the Chair if unable to attend.
- Arrive on time and participate constructively.
- Read agendas and documents in advance.
- Allow others to speak without interruption.
- Support majority decisions once made.
5. Conflicts of Interest Committee members must:
- Declare any personal, financial or relational interests.
- Step back from discussions or votes where a conflict exists.
- Be transparent to maintain trust.
6. Safeguarding Responsibilities Committee members must:
- Prioritise the safety and wellbeing of children and carers.
- Report safeguarding concerns promptly.
- Follow Swindon Borough Council safeguarding procedures.
- Avoid discussing safeguarding matters outside appropriate channels.
7. Communication and Representation Committee members must:
- Communicate in a supportive, clear and respectful manner.
- Avoid sharing confidential information publicly or on social media.
- Direct media or public enquiries to the Chair or Directors.
- Represent the Association in line with its values.
8. Teamwork and Collaboration Committee members should:
- Support one another.
- Be open to feedback.
- Avoid gossip or undermining behaviour.
- Celebrate contributions and successes.
9. Accountability and Conduct Issues. If concerns arise about conduct:
- The Chair and Directors will review the issue.
- A supportive conversation will take place.
- Actions may include mediation, guidance or removal from the committee.
- The aim is fairness, resolution and maintaining a positive environment.
10. Agreement. By joining the committee, members agree to:
- Uphold this Code of Conduct
- Act in the best interests of foster carers and children
- Support the Association’s purpose and values
- Work respectfully and collaboratively
